Are you a service-oriented, well-organised, and accountable individual who thrives in a positive atmosphere working on a broad range of tasks? If so, we have an exciting opportunity for you to join our team at Copenhagen Economics as an Administrative Coordinator in our Stockholm office.

This full-time maternity cover role involves handling a wide array of practical and administrative duties, collaborating closely with our office management teams across four countries: Sweden, Finland, Belgium, and Denmark. The anticipated start date is flexible but no later than August 1st, 2024.

As an Administrative Coordinator at Copenhagen Economics, you will be joining the Office Management department within the Business Support Team (BST). The team consists of 20 individuals from functional units such as Communications, Finance, Office Management, and HR. The team is responsible for delivering high-quality strategic support across the company. BST members are located across our four offices and collaborate to develop a one-firm business culture and provide a vibrant working environment.

ABOUT THE ROLE

In this role, you will have the opportunity to contribute to the smooth operation of our office and support the success of our team. We value individuals who are organised, and able to work collaboratively to achieve common goals. Your main tasks and responsibilities will include:
  • Maintaining a tidy and welcoming environment for guests and employees.
  • Coordinating meetings, managing deliveries, and overseeing office supplies.
  • Handling travel arrangements and bookings.
  • Liaising with external vendors on various office-related matters.
  • Supporting the People team with administrative tasks.
  • Assisting colleagues with ad hoc tasks.
  • Planning and executing internal and external events.
  • Ensuring compliance with health and safety protocols and GDPR regulations.
CANDIDATE PROFILE

We are seeking a proactive and approachable individual to join us. The ideal candidate will have:
  • A minimum of two years' experience in office management.
  • Basic organisational understanding and a strong ability to execute on tasks.
  • Excellent communication skills and logical thinking abilities.
  • Strong proficiency in English and Swedish, both written and spoken. Knowledge of Finnish is a plus but not a prerequisite.
  • A solution-oriented and service-minded approach.
  • The ability to work independently with minimal supervision.
  • A positive attitude and willingness to take on various responsibilities and projects.
