About the role

The Administrative Support Specialist helps the office run smoothly and effectively within the company. This position handles many administrative tasks, such as paying suppliers, setting up meetings, keeping office supplies, and arranging staff training.

The Administrative Support Specialist follows internal rules and helps different departments by offering backup, organization, and communication services. This role is important for improving workplace productivity and making sure that all administrative processes fit with company goals.

Key responsibilities

  • Act as a primary support point for multiple departments, facilitating seamless operations through proficient management of administrative duties.
  • Oversee and process supplier payments, ensuring accuracy and timeliness in financial transactions.
  • Manage logistics for visiting partners and corporate guests, including accommodations, catering, and local transport.
  • Organize and book travel and accommodations for staff; manage scheduling, rescheduling, and cancellation of meetings, ensuring optimal allocation of resources.
  • Serve as a hub for internal communication; prepare and distribute documents and reports; manage comprehensive records and files.
  • Maintain and manage inventory of office supplies, proactively addressing replenishment needs.
  • Plan, schedule, and oversee staff training sessions, track attendance, and evaluate effectiveness through feedback and performance metrics.
  • Proactively anticipate and address the needs of executive staff to facilitate their administrative ease.

Qualifications and experience

  • Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Professional certifications such as Certified Administrative Professional (CAP) or similar are advantageous.
  • Several years of work experience in an administrative role, preferably in the process industry.
  • Advanced knowledge of Microsoft Office Suite, ERP systems, and familiarity with digital communication tools like Microsoft Teams.
  • Basic understanding of financial processes including invoicing and budget tracking.
  • Experience with project management software for task and deadline tracking.
  • Strong verbal, written communication skills in Swedish and English

Tyre Recycling Uddevalla AB is part of a new joint venture initiative, promoted and owned by Antin Infrastructure Partners, a leading infrastructure investment fund, Scandinavian Enviro System, a Swedish technology company that has developed a unique and patented technology for the extraction of carbon black and pyrolysis oil from end-of-life tyres, and Michelin, a leading worldwide manufacturer of tyres. The aim of the joint venture is to create the world's first large-scale tyre recycling group, entirely powered by Enviro proprietary technology and whose first plant is the one being built in Uddevalla.

The vision is to create a cleaner and greener world by reducing the environmental impact of tire waste, while offering a profitable and sustainable solution for tire recycling that meets the highest standards of quality, safety, and environmental performance. Scandinavian Enviro Systems, co-investor and technology partner of the initiative, operate since ten years a state-of-the-art tire recycling test facility in Åsensbruk. The plant in Uddevalla will be a significant scale-up and create the basis for taking the technology globally.
