About the position

We are looking for an Admin Assistant to our client, an independent and important agency of the European Union. The position is based at the client’s office just north of Stockholm. The position will involve some travelling within Europe to support the logistics of training modules on site.

Your daily tasks

Working as an Admin Assistant within the Public Health Training Section entails providing interim services as part of the so-called Fellowship Programme. This program oversees the placement of Fellows in host institutes across Europe and facilitates training sessions and meetings. Your key tasks include:

  • Preparing and executing logistics for training sessions
  • Communicating administratively with participants and trainers
  • Collaborating with other sections
  • Maintaining databases and archives
  • Liaising with external partners

Your characteristics

As an Admin Assistant, you should ideally exhibit a blend of crucial qualities. A strong customer orientation and excellent communication skills are paramount, enabling seamless interactions with colleagues and visitors. Moreover, possessing a keen eye for detail and a commitment to maintaining high standards of quality are essential traits, ensuring accuracy across all tasks undertaken. Additionally, the ability to function effectively within a team dynamic is vital, fostering collaboration and contributing to the achievement of collective objectives.

Qualifications:

  • Excellent knowledge of Microsoft Office (Word, Excel, Power Point and Outlook) – with a focus on Excel
  • Service-minded attitude
  • Excellent communication skills, both spoken and written English

Meritorious

  • Experience in travel/meeting organisation
  • Experience in having worked within a public administration/adult learning

Contract type and hours

Full-time consulting assignment until 2024-09-30. Start 2024-06-01.
