Student worker: Office Administrator, FICC Markets

Management Support is a five person team within FICC Markets. In an organisation of deep specialists, Management Support is the team of broad generalists who help fill the gaps to ensure that the business runs smoothly. We are a central point of contact in both the local and global organization, and the go-to team that colleagues turn to for guidance. The role of Office Administrator is a key one on the team, taking a large role in both care of the physical office as well as many administrative tasks for the FICC staff.

About the job
This role is based on the Trading Floor, which is a high tempo, high energy, sometimes hectic environment without much privacy or quiet, so it is essential you are able to thrive within this setting. You will work closely in a team with your colleagues in the FICC Management Support team, helping contribute to the success of FICC Markets. You should be flexible and always service minded, and enjoy networking and building relationships in the organisation as well as being part of a close team. You will report to the Head of Management Support.
Practically, some of what the Office Administrator is responsible for includes:
- Expense reporting & receipt processing in the internal TEM system- Handling MyInvoices - coding, approving, designating approvers;- Booking conference rooms;- Ordering food and beverages & setting up video calls, conference calls and presentations for -meetings;- Travel booking;- Administrative logistics of employee celebrations - placing catering orders, flower orders, etc;- Ordering business cards and corporate credit cards for employees;- Ad hoc general administrative work - scanning, printing, getting documents signed and filed, sending packages, picking up packages and other orders, running occasional errands, etc.
No two days will be the same!

Who are you?
An enjoyment of detail-focused administrative work is required. You are someone who likes structure and organizing things in a proactive way, a person who asks a lot of questions and constantly seeks better methods when presented with new tasks or procedures.
FICC Markets is a fast paced, busy, high performing environment with a large amount of change activities, so you must be able to handle high-stress environments well and know how to manage your own time and prioritize. You should be coachable and willing to learn a lot at a fast pace.As a person you are social and extremely flexible, and enjoy engaging with a wide variety of people. The abilities to always deliver service with a smile and maintain prestigelessness are essential.This role is two to three days in the office per week, we offer flexible work hours. This role requires a professional level of both spoken and written English, and proficiency in Swedish.
