Executive assistant for Swedoor Sweden
Are you looking for an opportunity, where you can play a pivotal role in supporting the Sales Director and the VP of Sales in Europe?
As our new Executive Assistant (EA) you will be reporting directly to our sales director, Charlotte Mattsson, and you will furthermore act as office manager, where you will oversee our daily office operations, for our office in Huskvarna, providing administrative, organizational and content related support.
Ideally you have excellent communication, organizational, and time-management skills, as well as the ability to multi-task and prioritize effectively.
Your main responsibilities
•Extensive diary management for Sweden Sales director and VP Sales Europe including supporting on the coordination of key customer meetings
•Delivery, facilitation, and coordination of projects
•Assist with the production of project plans, which detail deadlines and responsibilities.
•Coordination of travel and accommodation arrangements for Sales Director and VP Sales Europe and wider direct reports for larger meetings
•Scheduling of leadership team meetings, ensuring participant attendance, agenda building capturing minutes and actions for meetings, circulating them to participants as relevant
•Sourcing pre-reading materials and ensure these are circulated in a timely manner for meetings
•Presentation creation and facilitation of inputs from all functions
•Coordination of the leadership communication processes from board meetings reports and presentations through to employee recognition schemes
•Collating and coordinating approvals for expenses for Sales Director and VP Sales Europe with monthly timelines
•Supporting major sales events with planning and facilitation
•Oversee and manage daily office operations, including maintenance of the office, equipment, and supplies, and procurement of new equipment and supplies as needed
•Handle incoming and outgoing mail, including courier services, and ensure timely delivery of mail and packages
Required profile:
In addition, you will also be responsible for collecting and collating the input from the various sales regions across Europe and collating the information into standardised reports, within tight timescales.
In this position you will also have the opportunity for developing, in terms of leading smaller projects and demonstrating initiative as part of the European Sales Management Team
Your background
•Experience within balancing multiple stakeholders - Customers, senior executives and owners, with the ability to maintain confidentiality and to be discrete.
•Proven experience using the full Microsoft Office Suite, particularly Outlook, PowerPoint, Excel, MS Teams and teams
•Confident in building presentations and drafting reports
•Experience of working within a large multinational company would be advantageous.
•Supporting Director / Executive level managers
•Diary management and comfortable making and communicating short notice adjustments
•The ability to produce and interpretate commercial and financial reports
•Experience of CRM systems, aswell as knowledge of Salesforce CRM is advantageous
